Knowledge Base (Hub)

The Hub is your team's shared internal knowledge base. Use it for:

  • Destination guides (visa rules, currency, climate by season).
  • Supplier briefings (contacts, payment terms, quirks).
  • Internal processes (how-tos, onboarding material).
  • Sales playbooks and pitch decks.
  • Anything else worth writing down once and finding fast later.

The Hub combines a familiar folder/document structure with semantic search and an AI chat assistant that answers questions in natural language using your organisation's content.

Folders and documents

Documents live in folders that you can nest to whatever depth makes sense. A document can be:

  • A rich-text article authored directly in Tourbox.
  • An uploaded file: PDF, DOCX, XLSX, PPTX, images, markdown, and other common formats.

Documents support drag-and-drop file management and bulk upload.

Two search modes are available:

  • Keyword search: Classic title and full-text search.
  • Semantic search: Finds documents related to the meaning of your query, not just matching words. Results show a relevance score.

Chat

The Hub chat lets you (and your team) ask questions and receive answers drawn from your documents, with citations back to the source documents used. Examples:

  • "What's our process for handling cancellations after departure?"
  • "Which Tuscany hotels do we recommend for families?"
  • "What are the payment terms with Supplier X?"

Chat responses are generated using the AI provider configured for your organisation under Settings → AI.

Indexing

When a document is uploaded or edited, it's automatically indexed for search and chat. Indexing usually completes within seconds; very large files may take a minute or two.

Permissions

Editing folders and documents requires the Hub management permission. Members without it can still read and search.
