Library
The Library is the shared content workspace for your organisation. It groups several related areas under one navigation point:
- Media: Image and file asset gallery. See Media.
- Collections: Curated bundles of media for sharing or theming.
- Hub: The internal knowledge base, with folders, documents, semantic search, and AI chat. See Knowledge Base.
- Doc Intelligence: AI extraction tool for supplier invoices and other documents. See AI Features.
- Templates: Reusable document and email templates with merge variables.
Templates
Templates are the rendered formats that produce the PDFs and emails you send to customers and suppliers. There are several template types:
- Customer document templates: Layouts for quotes, invoices, and credit notes.
- Itinerary templates: Layouts for the printed/PDF itinerary handed to customers.
- Email templates: Subject and body templates for outgoing email. See Email Templates.
- Supplier document templates: Layouts for purchase orders and supplier confirmations.
Each template supports merge variables (e.g. {{customer.first_name}}, {{booking.reference}}, {{itinerary.total_price}}) that are filled in with live booking data when the template is rendered.
Creating and editing templates
The template editor offers:
- A rich-text editor with formatting and tables.
- A variable picker showing all available merge variables.
- A live preview against a sample booking.
- Header / footer / page settings for PDF outputs.
- Brand colours and logo inherited from your organisation settings.
Collections
Collections are curated bundles of media, for example "Egypt destination photos" or "Branded brochure assets". A collection has an access mode:
- Private: Visible only to the collection's owner.
- Shared: Visible to all members of your organisation.
- Public: Accessible via a public link, useful for sharing with customers or suppliers.
Collections show item count, access mode, creator, and creation date.
Doc Intelligence
Doc Intelligence lets you upload a supplier invoice (PDF, image, or scan) and have AI extract:
- The supplier identity.
- Document number and dates.
- Line items with descriptions and amounts.
- Totals, taxes, and currency.
- Any bank details present.
You then review the extracted data, correct anything wrong, and save it as a supplier document. See AI Features for more.
Permissions
Editing the Hub requires the Hub management permission, and managing the media library requires the media management permission. Other library areas inherit standard role permissions.
